1 Introduction
The personal integrity of the individual and the security of his / her personal data is important for A to K AB (“A to K”) who is responsible for ensuring that all personal data is processed properly in accordance with applicable data protection laws. This Privacy Policy (“Privacy Policy”) describes A to K’s processing of personal data. Therefore, please read the Privacy Policy carefully before sharing your personal information with us.

2. The scope of the Integrity Policy

2.1 For who is the policy
This Privacy Policy applies to individuals who are candidates, employees, customers, suppliers and other stakeholders. Different chapters will be relevant to you depending on your relationship with A to K.

2.2 As for the policy
This Privacy Policy governs how A to K collects and processes personal information for our service offering, including food and nutritional supplements. The policy also governs the handling of personal data for individuals with whom A to K has a business relationship such as suppliers and customers.

2.3 When does not the policy apply
Sometimes, services from A to K are advertised on third-party websites that are not owned or administered by A to K. A to K has not reviewed these websites or other sites that contain links to the A to K website. This Privacy Policy does not apply to the processing of personal information that occurs on such websites and A to K is not responsible for personal data processing on websites that are not part of the A to K website. A to K’s Integrity Policy is also not applicable to treatment performed by test companies.

3. Processing of personal data
A to K’s handling of personal data is described below based on your relationship with A to K.

3.1 For you who are candidates or employees

3.1.1 Purpose of processing personal data

Personal data is processed only for the purposes and purposes described in this Privacy Policy. A to K only deals with personal data to the extent that such processing is necessary for such other purposes as set out below. This also applies to sensitive personal data.
A to K deals with jobseekers and employees’ personal data in order to:
(a) provide the Service to A to K customers and offer you the opportunity to be a part of the Service;
(b) administer our relationship with you

3.1.2 Personal data
By agreeing to this Privacy Policy, you agree that A to K is processing your personal information in accordance with this Privacy Policy. If you do not agree to such treatment, do not provide us with personal data.
Below you will find information about what kind of personal data A to K is dealing with and how A to K can get / retrieve this information.

3.1.2.1 Candidate
Personal data A to K deals with you as a candidate based on the information you provide to A to K by mail or e-mail.
The personal information we may be able to process about you consists of names, addresses, e-mail addresses, social security numbers, grades, certificates, training and work experience, photography, test results, background check, reference eg remarks about sickness absence) as well as information necessary for the follow up of the Service, etc.
In case you are looking for photography, or without leaving A to K’s photo, you agree that A to K is dealing with such photography.
You may be required to approve additional terms for processing your personal information in connection with the performance of tests, upon request of us.
In some situations, it may also be necessary for A to K to obtain your approval to request credit information through external credit reporting companies.
A to K may also ask you to provide additional personal information, but in such cases you will specifically approve this. Even such personal data provided / processed by special approval will be covered by this Privacy Policy.

3.1.2.2 Employees
The personal data we will process about you consist of, in addition to the information specified in 3.1.2.1 (Candidate), including contact information for relatives, payroll and account information. A to K may also need to process sensitive personal information about you, such as information about your health. For example, health information may need to be addressed in order for A to K to be able to fulfill its obligations as an employer. In case you are looking for photography or that you are asking for a photograph on your own, you agree that A to K is processing such photography.

3.1.3 Savings of personal data
How long a personal data is saved depends on the personal data and the purpose of its processing. The data you register in your profile or as A to K records in A to K’s operating system will be saved as long as your account is active, under the current contractual relationship and then, in some cases, for a period that follows from the law. Your account is counted as inactive if you have not logged in to it for such length of time as giving A to K reason to believe that your personal information has become out of date or you have revoked your consent to A to K’s processing of your personal information.
A to K will generally save personal data relating to:
(a) data relating to the application and recruitment process, in the current year for the last activity and thereafter for two (2) years;
(b) employment contract, in the current year and thereafter ten (10) years;
(c) customer and supplier agreements as well as information on business events, such as data on time reports, participants, assignments, payroll, invoices, declarations, financial statements, during the term of office and thereafter for ten (10) years; and
(d) control data, until A to K’s pension commitments have ceased.

3.2 For you who are a customer or supplier

3.2.1 Purpose of processing personal data
Personal data is processed only for the purposes and purposes described in this Privacy Policy. If you choose not to provide us with certain personal data, it may affect the use of the Service or the provision of the Service.
A to K only deals with personal data to the extent that such processing is necessary for the Service and for services provided by suppliers to A to K or for such other purposes as set out below. This also applies to sensitive personal data.
A to K processes personal data about customers and suppliers’ employees to:
(a) You may access the Service or provide other services to A to K;
(b) administer our relationship with you;
(c) Enable future business relationships.

3.2.2 Personal Data
By agreeing to this Privacy Policy, you consent to A to K processing, as applicable, personal data about your employees and / or suppliers in accordance with this Privacy Policy. You also confirm that prior to your consent you have received approval for A to K’s personal data management in accordance with this Privacy Policy from all affected individuals.
A to K may also request the individual to provide additional personal information than is stated below. Even such personal data provided / processed by special approval will be covered by this Privacy Policy.

3.2.2.1 Customers
A to K may handle your personal information. Such information includes, among other things, the name, address, e-mail address, position, responsibilities and other information necessary for the provision and follow-up of the Service, and to enable future business relations.

3.2.2.2 Suppliers
A to K may treat personal and personal information of contact persons and other employees. Such personal data consists, inter alia, of the information specified under 3.2.2.1 (Customers) and 3.1.2.1 (Candidate) and other information necessary for the provision and follow-up of the Service to ensure a good delivery of services to A to K as well as to enable future business relations.

5. Sharing of personal data between companies in the United Invest Nordic Group
A to K generally handles personal data derived from candidates, employees, customers and suppliers’ employees with all companies within the United Invest Nordic Group in order to provide the Services. Sharing is necessary to quickly and efficiently offer candidates and employees relevant and exciting assignments and offer the best skills for A to K’s customers and open up new business relationships.
Sensitive personal information is generally not shared between the companies in the United Invest Nordic Group. Before sharing sensitive information, A to K always makes an assessment as to whether such sharing is necessary for the purpose for which the sensitive personal data are collected, and if further consent is required for the sharing or if there is legal support for sharing the personal data.
A prerequisite for the sharing of personal data between companies in the United Invest Nordic Group is that it is conducted in accordance with this Privacy Policy and relevant Personal Data Law.

6. Sharing of personal data outside of the United Invest Nordic group
A to K will not sell, disclose or disseminate personal data to third parties, except as stated in this Privacy Policy. Within the framework of the Service, personal data may be forwarded to an A to K customer, suppliers, subcontractors, and partners if necessary for the performance and provision of the Service. A to K may also disclose your personal information to other third parties, such as A to K’s suppliers for our business, technical support, operation of IT systems, external testing companies or suppliers that handle job searches on our behalf. Parties like A to K may disclose personal data to be outside the European Economic Area, EEA, which means that personal data may be transferred to non-EEA countries. If A to K delivers personal data to A to K suppliers outside the EEA, we will take steps to ensure that personal data remain protected and also take the necessary steps to legally transfer personal data to non-EEA countries.
In addition, we may disclose personal information if we are required by law, court order or otherwise disclosure is necessary to participate in a legal investigation.
